SUMMARY
The Administrative Assistant/Office Manager
for Financial Aid works under the direction of the Director of Financial Aid
and provides
a variety of responsible clerical assistance emphasizing application processing
and record keeping activities in the Financial Aid Office. Position also assists students and parents
and responds to general financial aid inquiries.
Administrative
Assistant/Office Manager Duties
- Serves as front-line representative for all visitors to the Financial Aid Office
- Serves as a resource person to students, parents, and the public
- Maintains office calendar
- Responsible for all data entry for the Financial Aid Office.
- Responsible for the maintenance all student files in the Financial Aid Office
- Responsible for all incoming and outgoing correspondence in the Financial Aid Office
- Coordinates the collation of all financial aid correspondence and award letter package mailings
- Responsible for office flow procedures of all incoming financial aid data
- Responsible for the development and printing of all financial aid materials
- Assists with the awarding of financial aid to qualified applicants (part-time and full-time)
- Assists with reviewing part-time students' budgets to ensure student’s aid is correct
- Attempts to keep current with professional journals, magazines, and other publications pertaining to financial aid
- Responsible for the completion and submission of SC State Program reports
- Coordinates all correspondence to students, parents, faculty, staff, departments, (examples: lists to Admissions, coaches, faculty, and staff regarding recruits; mail outs to students for missing documentation, etc.)
- Performs related duties as assigned and needed
- Bachelors degree preferred
- Three to five years experience in a higher education setting is preferred
- Excellent interpersonal, verbal, written skills
- Working knowledge of Banner Tools
- Basic mathematical skills
- Maintain confidentiality
- Effective oral and written communications to maintain cooperate working relationships with persons contacted in the course of performing assigned duties
- Working knowledge of Microsoft Office
- Demonstrated ability to follow through with projects and meet given deadlines
- Ability to quickly establish and maintain rapport with prospective students and families, current student body and parents, faculty and staff
- Organizational skills a must
- Ability to manage multiple projects with time-sensitive deadlines while maintaining excellent, personalized financial aid service to parents, students, and PC faculty/staff
